Downloads Viewer
When carriers send policy downloads to your HawkSoft database, the downloads are sent in a file type called AL3. HawkSoft includes a Downloads Viewer to enable you to view and work with AL3 files.
This article explains how to view and work with download attachments using HawkSoft's Downloads Viewer.
The HawkSoft Downloads Viewer is also used for viewing Policy Snapshots. All of the workflows covered in this article also apply to Policy Snapshots, with the only difference being that Policy Snapshots are generated by HawkSoft, whereas policy downloads are sent by carriers. For more information, see the Policy Snapshot article.
To perform this task, no specific HawkSoft user permissions are required.
To view an attached download in the viewer
-
Search for and open the client file that contains the download you want to view.
-
Select the policy tab that contains the download, and then click the Attachments detail tab.
-
Select Downloads at the top of the Attachments list.
You can de-select Attachments to hide all non-download attachments, as well as de-select Archived to hide all archived download attachments.
-
Double-click the download or policy snapshot you want to view.
A new AL3 Viewer window opens containing your selected download or policy snapshot.
To compare a policy download to previous downloads
The Compare to Previous button on the Download Viewer toolbar enables you to compare the currently-open download to previous downloads of this policy. This enables you to quickly see how a policy has changed over time.
To learn how to use the Compare to Previous function, see the Comparing Downloads and Policy Snapshots article.
To expand or collapse download sections
When you open a policy download in HawkSoft, you'll notice that the download information in the AL3 Viewer is split into different sections containing different groupings of client/policy information, such as a Contact Info section, an Insured Information section, and a section for the policy itself (for example, Private Passenger Automobile for personal auto policies). Additionally, the policy section contains different sub-sections, such as Locations, Vehicle Coverages, Vehicles, and Drivers sections for a Private Passenger Automobile policy.
When you first open a download, all sections are expanded by default. To collapse an individual section or sub-section, simply click on the header for that section. To re-expand a hidden section, click on the section's header again.
To collapse all sections on the download, click the
Collapse All button on the AL3 Viewer toolbar. Afterwards, you can click individual headers to expand only the sections you want to see.
To re-expand all sections on the download, click the
Expand All button on the toolbar.
To print a policy download
HawkSoft enables you to print a physical copy of a policy download's information. This printed copy can serve as a general summary of the current client/policy information. To print a download:
Click the
Print button on the Download Viewer toolbar.
The Print dialog opens.
Select your desired printer in the Printer drop-down.
Select your desired print properties using the remaining fields, such as the number of Copies, the page Layout, and the Color of the print.
Click Print.
The printed download summary is sent to your printer.
To save a PDF copy of a carrier download
The HawkSoft Downloads Viewer enables you to save a copy of the download to your computer's local files as a PDF document. This PDF document contains all of the same information included in the download file, structured in the same manner as the information in the Download Viewer, and can be opened in any PDF viewer.
To save a copy of a download as a PDF, click the
Download as PDF button at the top-right of the Download Viewer.
You can also press the keyboard shortcut Ctrl + D to save a copy of the download as a PDF.
The PDF copy is saved to your computer's local Downloads folder, with the file name being the same as the carrier name on the download. A Downloads dialog appears at the top-right of the Download Viewer, showing the progress of the PDF copy's download. Once the PDF copy is finished downloading, you can click Open File in this dialog to view the PDF copy in your default PDF viewer.
Advanced options (for troubleshooting)
The following options are mainly intended to assist HawkSoft support and/or your carrier's download support with troubleshooting download issues, and agency users do not need to know this information unless directed by a HawkSoft representative, or by your carrier support.
To show AL3 Groups (debug info)
The HawkSoft Download Viewer enables you to display the AL3 structure of a download by displaying which AL3 Groups contain which data.
To show which AL3 Groups are contained in the download, click the
three-dots menu at the top-right of the Download Viewer, and then check the Show Debug Info checkbox. The AL3 Viewer displays grey boxes next to the data, which shows which AL3 group contains that datum. Click the Show AL3 Groups button again to hide the AL3 groups.
To save a copy of the download as an AL3 file
The HawkSoft Downloads Viewer can be used to create a new copy of an AL3 file to assist HawkSoft Support, or a carrier's downloads support, with troubleshooting any issues arising from a particular carrier download. This new AL3 copy can then be sent to HawkSoft Support or the carrier's download support staff.
To save a new AL3 copy of the download, open the
three-dots menu, and then select Download as AL3.
The AL3 file is saved to your computer's local Downloads folder. From there, follow HawkSoft Support or your carrier support's instructions to transfer the AL3 file to support.
