The HawkSoft interface enables you to:
- Create a "master" certificate, and then edit the master as needed - Recommended
- Attach additional documents to accompany the certificate
- Export and import a list of certificate holders
- Sign and distribute the certificate(s) via email
- Upload the form to a Self-service Certificate Portal so that your client can provide proof of coverage to a third-party
Best practice and Noteworthy
Be sure your policy data is up to date before creating a "master" certificate.
Why create a "master" certificate
HawkSoft recommends creating a single “master” Certificate for each client that includes all liability coverages you have written for them. By keeping all policies, coverage details, and Certificate Holders in one master document, you only need to update this single Certificate when policies renew or coverages change—greatly improving efficiency.
Why create a "master" certificate at the client level?
Because Certificates often contain policy and coverage detail from more than one policy within the client file, this keeps all your attached certificates and log entries related to certificates in one place – on the Client tab.
How does the "master" get updated when policy changes are made?
Changing policy data does not automatically update the certificate. Once policy data has been modified (coverage changes, policy renewals/rewrites, etc.), it is important to update the Master Certificate by clicking the Lookup button for each liability. See
Updating Certificates after Renewals for more information. Note that, updating policy data directly on the certificate will not update the actual policy.
Policy renewals: Be sure to redistribute your updated certificate to existing certificate holders to reflect policy changes. See
Updating Certificates after Renewals for more information.
Are documents attached to the "master" included in self-service certificates?
When creating or modifying a master Certificate of Liability Insurance (ACORD 25), any additional documents attached to the certificate—such as those added from the Document Library or ACORD forms and packages created via the HawkSoft Form Filler—will not be included in the Self-service published certificate. See Self-service Certificates for more information.
