Activity Reports

You can run an Activity Report to review the number of actions and type of actions your agency users completed on all clients and policies within a specific date range. You can also run an Activity Report on your agency’s Activity Tags to review common tags that your staff is applying to log notes. Activity Reports enable you to easily monitor your users' completed actions and productivity on clients, policies, and tasks, and can help you ensure that your agency users are properly logging their actions.

For example, you may run an Activity Report to view all client actions completed by a specific user in the previous week, and then summarize the report data by Action to review the number of times the user completed each type of action on clients, policies, and tasks within the specified date range.

To review all of your agency users' upcoming actions needed for clients, policies, and tasks, see Managing Tasks for the Agency.

Activity Reports will also show batch actions, such as sending a mass email and automated system actions, such as applying a download to a policy.

Owners/Administrators, and Managers commonly use Activity Reports to track staff work volume or audit a user's log notes.

Running an Activity Report

To run a new Activity Report:

  1. Click New Report.

  2. Select the type of report.

    • All Client Actions by Date Range - This report will return all client actions which occurred in the provided date range.

A client action is defined as any action you selected to perform on the client from the Action Menu such as Send Email or Insert Policy. A client action can also be defined as an action taken on a task that is associated with a log note, such as editing, closing, or reopening a task.

    • All Activity Tags by Date Range - This report will return all Activity Tags created during the provided date range.

Removed activity tags will not appear when running the All Activity Tags by Date Range report, however they will appear on the All Client Actions report when appends are included in the report. To learn more about how tags are removed, see Reporting on activity tags.

  3. Optional: Add a Report Title.

  4. Optional: Select a Preset date range from the drop-down.

  5. Optional: Change the Action Date Range.

HawkSoft recommends limiting the date range of your report. Longer date ranges can significantly increase the time to run a report and to interact with it. If you need to run a report covering large date ranges, consider running multiple reports in 1-month increments.

By default, HawkSoft will report on activity in the past 30 days.

  6. Optional: Select a User to see activity for.

You can add additional columns to your report for Agents, CSR, and Producers, and then summarize by each of these columns.

You can select one specific user at a time or leave this field blank to see activity for all users. You can sort or summarize the report by user. See Customize, Summarize, and Filter Report Data for more information.

  7. Optional: Check the Include Append on Logs box to include Append as a Channel or Activity in the Client Actions report, enabling you to quickly view which clients have appended logs.

Check this box to report on removed activity tags when running the All Client Actions by Date Range report. To learn more see Activity Tags.

  8. Optional: Check the Include Log Text to add a column to the Client Actions report which includes the first 100 characters of any text that the user typed in for each log.

Keep in mind that the report may be slower to generate if the Include Log Text option is selected.

Reports with smaller date ranges, or with less activity may not notice as much difference in the time to create the report. Reports with longer date ranges or with higher activity in the selected date range may take significantly longer to generate these reports.

  9. Click Run Report.

A new tab will open with your report and your report is automatically listed under Recent Reports.

You can double-click on any Activity Report entry to open the associated client/policy and log note.

To learn how to use filters, customize columns, and summarize your report, see Customize, Summarize, and Filter Report Data.
