Client Credit Receipts

The Payment feature in HawkSoft enables you to enter a payment as a Client Credit receipt.

When a Client Credit receipt is created, HawkSoft documents a credit on the client and includes the receipt in the Trust Accounting Report. The credit remains on the client file until it is applied to a customer balance due.

Creating a Client Credit receipt

  1. Retrieve the client, and then select the policy you are taking a Client Credit on.
  2. Click Action, and then select one item in each of the first three lists to describe what prompted this transaction.
  3. Select Trust Accounting, and then select Create Payment.

If there are any open invoices on this client file, the Open Invoices dialog opens. Click Skip if your intention is to create a credit to be used at a later time.

    The New Payment dialog opens.

If a Search Agents field is visible at the top of the New Payment dialog, the appropriate user initials must be selected. This field appears only if Show Agent Field on Receipts is selected when configuring Trust Accounting Settings.

  4. Select a Pay Method from the drop-down list.
  5. Enter the Check or Reference Number, when applicable.
  6. Enter the Amount Tendered that will be left on the client file as credit.

  7. Click Overpayment Options and Select Client Credit.

  8. Select the bank account the payment will be deposited into from the pop-up.

The Invoice Item and Amount fields will automatically be filled in.

  9. Optional: Enter a message in the Printed Comment field to appear on the generated customer receipt.

  10. Optional: Enter an internal Note.

  11. Click the Save Payment and Exit button.

The Create Payment Saved window opens, showing the transaction.

  12. Click the Close Window button.

  13. Click Finish in the Action menu.

    The Finalize Log dialog opens.

  14. Add log comments and create a Task as needed, and then click Save Log.

You have now processed a Client Credit in HawkSoft. The Client Credit receipt will appear on the Trust Accounting Report and can be exported to QuickBooks. The Client Credit will appear on the Trust Accounting tab in the client and will remain until it is used.
