Manage Agency Users

Each agency employee who uses HawkSoft must have a user profile that includes their name, login credentials, email, and permissions set to accommodate their job functions. The User Profile is also where you can set this user's contact information for placement on forms and correspondence.HawkSoft User Profiles can be added and configured through the User Setup tab in Agency Setup. The following articles are intended to help an agency administrator or manager add new users, edit existing users, and assign permissions.

Licensed Seat Management

Seat Management controls how many users who can access HawkSoft simultaneously. In addition, you can see which users are currently signed in and forcibly sign out users who are experiencing technical difficulties.

Changes to the number of seats licensed to your agency will impact the cost of your agency's HawkSoft subscription.

Each seat represents one concurrent user, not a specific individual. Your agency's licensed seats determine the maximum number of users who can access HawkSoft at the same time.

Whenever there is a change in staffing, review your agency's seat count to ensure it can accommodate the expected number of users during peak hours.

Remove or Replace a User

A user's status should be changed to Inactive when their employment with the agency is terminated. Setting the user status to Inactive will prevent that user from logging into HawkSoft or the Agent Portal in the future, while retaining their historical documentation.

Export Users

Exporting a list of users is a helpful way to review and share user information outside the system. Your agency may use this feature periodically for audits, reporting, or record-keeping purposes. This article will walk you through the steps to generate and download a user list as an excel file that can be easily saved or imported into other tools.

View and Export User Sign-In Logs

HawkSoft enables agency managers to generate and view a log of user sign-in attempts. Once the log of user sign-ins has been generated, filters can be applied to narrow-down the list as needed. The list can then be exported to a CSV spreadsheet and saved to your computer, as needed.
