Remove or Replace a User
A user's status should be changed to Inactive when their employment with the agency is terminated. Setting the user status to Inactive will prevent that user from logging into HawkSoft or the Agent Portal in the future, while retaining their historical documentation.
This task is typically performed by an Owner/Administrator or Manager.

HawkSoft strongly recommends inactivating a user rather than deleting a user, except in special cases. Deleting a user can cause issues with your historical reports, and should only be done for users who have never been assigned clients, policies, or Tasks.
One example of when you might delete a user, is when you create a new user, then realize you typed in the wrong user name. For example, typing in FDD instead of FDR. If you have not yet assigned any work to the new user, you can delete the old user, then add the new user.
Steps to permanently delete a user:
-
Click the
Setup icon, and then select User Setup.OR
Log into the HawkSoft Web app from any computer.
-
Click the
Setup menu at the top-right corner, and then select User Setup. For more information about logging into the HawkSoft web app, see Logging In and Out of HawkSoft.

-

-

-
Determine if you need to replace default user settings or simply delete the user.
-

Type the user's initials into the text box, then click Delete & Replace User, search for the user you are replacing them with, and then click Delete and Replace.
To learn more about default settings, see Default Agent Information, Task Templates, and Download Rules.
-
If the deleted user has not been set as the default user, type the user's initials into the text box, then click Delete User.

Depending on your agency's settings, you might need to take additional steps when deactivating a user. Read through this list and decide if each item is applicable when deactivating each user.
To update your seat licenses
If an employee leaves your agency, and is not replaced with a new employee, you may want to check how many seat licenses are on your HawkSoft subscription, then decide if you want to remove a seat. Seats are not assigned to specific users - they represent the maximum number of concurrent users in HawkSoft. This will impact your billing with HawkSoft.
For information on updating your seat count, see Seat Management.
To deactivate the User's HawkSoft E-Signature account
If your agency has an E-Signature license assigned to the inactive user, you will want to deactivate the user's E-Signature account through the HawkSoft Marketplace. This will impact your billing with HawkSoft. For instructions on deactivating a Hawksoft E-Signature user account, see Purchasing HawkSoft E-Signature.
Check Automatic Download Rules
When you process downloads, HawkSoft will automatically create Tasks. When deactivating a user, it is recommended that you review these settings to ensure new downloads are not assigned to the inactive user. Download rules are updated when you Replace a user. See Download Rules for detailed steps on assigning specific downloads to different users.
Check settings for default Producer, CSR, and Agent
HawkSoft enables you to set default Producer, CSR, and policy Agents for new policies. Default Producer, CSR, and Agent are updated when you Replace a user. For information on changing default agents, see Agency Setup.
