Carrier Download Setup Overview
HawkSoft can be configured to accept electronic downloads from participating carriers. HawkSoft attaches downloads received from these carriers to existing clients and policies and can automatically update policy information according to your Download Rules.
Most carriers download using the IVANS platform. After some initial set-up, HawkSoft can automatically access your IVANS mailbox(es) and process these downloads into HawkSoft, with no manual input needed. However, some carriers may require other third-party download software to be installed to take advantage of electronic downloads.
See Best Practices: Download Settingsfor important tips.
To learn more about working with carrier downloads, see Carrier Downloads Overview.
HawkSoft automatically processes your agency's IVANS downloads and either adds them to a matched client/policy as an attachment or adds them to your agency's Unmatched Downloads. If any of your carriers require the use of a third-party downloader other than IVANS, HawkSoft can also integrate with them by automatically importing those downloads each time the third-party downloader is run by your agency. You can review recently matched downloads on the Download Report. Additionally, you can manually process downloads from other sources (such as email) by dragging-and-dropping them on the policy.
Carriers that Download to HawkSoft
To determine which carriers offer downloads, which lines of business are offered and the types of downloads available, as well as how these carriers send downloads, please see the Carrier Downloads and Real Time Integration list on our website.
When you receive a download from a carrier that has not yet been added to your carrier list, HawkSoft can add the carrier to Carrier Setup automatically (depending on whether Auto-Create Non-existent Carriers is enabled in your Download Rules).
These automatically-added carriers are displayed on your carrier list with a
tag. Auto-created carriers only contain basic name, writing carrier, and NAIC information, therefore it is important to review these download-created carriers to add the missing details and LOB information.
See Editing Carrier/MGA Information and Reviewing Changes to Carrier Information for more details.
How carriers send downloads (download managers)
All carriers that download use a third-party vendor or their own proprietary download management software to send information to HawkSoft.
IVANS – Most carriers send electronic downloads through the IVANS™ Insurance platform. If you do not already have an IVANS mailbox and would like to take advantage of carrier downloads, HawkSoft Implementation can assist you in obtaining an IVANS account. Once you've obtained an IVANS account, HawkSoft can integrate directly with IVANS to automatically process downloads that are sent to your IVANS mailbox.
See Download Accounts Configuration for steps on integrating your IVANS account(s) with HawkSoft.
If you already have an IVANS account, you can manage your IVANS mailbox and request IVANS downloads from additional carriers through the IVANS Exchange website. To access IVANS Exchange, visit exchange.ivansinsurance.com, or click the IVANS Exchange button at the top-right of the Downloads Dashboard.
Proprietary software – Some carriers, such as Progressive®, use their own software to download policy transaction files to HawkSoft. Contact the individual carriers to install, configure, and obtain instructions for running the software.
Other third-party downloaders – Some carriers use one of several other third-party vendors, such as TEAM-UP® or Symbience Clear Path®. Contact the individual vendor to install, configure, and obtain instructions for running the software.
See Configure Local and Third-Party Downloads for steps on integrating proprietary and other third-party downloaders with HawkSoft.
Enable Carrier Downloads for your Agency
The first step to download setup in HawkSoft is to turn on carrier downloads from your Download Rules. Once carrier downloads is enabled, you can begin configuring HawkSoft to receive and automatically process downloads from your carriers.
This article covers how to turn on carrier downloads in HawkSoft, and provides a brief overview of the next steps to configuring your HawkSoft database to receive and process downloads.
IVANS Download Accounts Configuration
HawkSoft enables you to integrate your IVANS mailboxes directly with HawkSoft's Downloads Dashboard. This integration enables HawkSoft to automatically and continuously pull in your IVANS downloads as soon as your carriers send them, and immediately begin matching these downloads and updating your downloaded policies according to your Download Rules.
By entering your IVANS account information into the Download Account page in your Downloads Dashboard, communication is enabled between HawkSoft and your IVANS mailbox. If your agency has multiple IVANS accounts, you can enter the information for each account into the Download Accounts page, and HawkSoft will automatically pull downloads from each of these accounts.
Configure local and third-party Downloads
The primary method of receiving carrier downloads into HawkSoft is through IVANS mailboxes. However, some carriers (such as Progressive) use their own proprietary software to send carrier downloads to your agency. Additionally, some other carriers may use a different third-party software, such as Team-Up, to send carrier downloads.
Carriers requiring the use of tools other than IVANS to receive carrier downloads require additional set-up in HawkSoft. Additionally, downloads for these carriers must be manually run by an agency employee each business day before they can be processed into HawkSoft.
This article explains how to set up and run downloads for carriers requiring the use of proprietary or third-party download software.
Download Rules
HawkSoft enables you to configure Download Rules to determine how carrier downloads are processed.
This article describes the actions that can be automated for each download type, and how to set rules to enable actions to automatically update your clients and policies. This article also describes how to manage Carrier Exclusions, which can be used to prevent an action taken on specific download types, for a particular carrier.
Download Task Rules
When downloads are received by HawkSoft, the downloads are checked against these Task Rules, and if the download matches the criteria of a rule, HawkSoft automatically creates a task for the specified user(s) associated with that particular task rule.Create Clients and Policies from an Initial Download
HawkSoft can automatically create clients, policies, and carriers during an "initial download". An initial download, also called an "initial load" or "synchronization download", is when your carrier sends you a copy of all active clients and policies your agency has written with that carrier. An initial download can be a valuable tool for quickly adding clients and policies to your database.
